A Microsoft 365 renewal is a chance to check whether your subscriptions still fit the business. Start the review before the renewal date so user changes, service requirements and available subscription options can be discussed in time.
Start with a clear subscription inventory
What have you purchased?
Record each exact plan name, including the Teams variant and any add-ons. Keep the subscription identifier, purchased quantity, seller and renewal date together.
Who is using it?
Compare purchased seats with assignments. Review leavers, inactive accounts, duplicate assignments and upcoming joiners. Investigate why a licence is unused before proposing its removal.
What changes next term?
Identify changes in headcount, desktop-app requirements, device management and security. Separate confirmed requirements from possible future expansion.
Review user roles before choosing plans
Ask team managers how their staff work. A browser-based role may have different needs from a role using installed productivity apps or handling sensitive information. Check the services already configured in your tenant and the licences required by the users benefiting from them.
Use our Microsoft 365 plan comparison to build a shortlist. Changing to a lower-priced plan is only useful if the required functionality and licensing coverage are retained.
Confirm Teams and additional services
Check the exact Teams variant, existing separate Teams subscriptions and any planned changes. Review paid Copilot, security and other add-ons separately rather than assuming they are included in every base plan.
Separate the commitment from the payment schedule
Record the subscription term and billing frequency as distinct fields. An annual commitment paid monthly does not automatically become a month-to-month subscription. Ask your seller which changes can be made immediately and which can be scheduled for renewal.
For new commerce licence-based subscriptions purchased through a Microsoft partner, cancellation and seat-reduction options are generally restricted to a seven-day window after purchase or renewal, except where otherwise required by law. The applicable purchase channel and subscription terms must be confirmed before making a change.
Keep an approval and renewal record
Agree who approves plan selections, seat quantities and the new commitment. Request a written proposal identifying the subscription variant, billing schedule, taxes, included services and any separately charged implementation or support work.
After renewal, check that the subscription and assignments match the approved proposal. Review invoices and retain the confirmation for the next cycle.
